Manage templates
Duplicate, edit and delete templates, copy a template ID and see what each permission level allows.
Duplicate a template, copy its ID, or delete it, and see what each permission level allows.
Before you start: editing, duplicating and deleting need Full control on Document templates.
Steps
Duplicate
- Right-click a template card and choose Duplicate.
- A copy named
<name> (copy)is created with the same description, record type, Drive space and layout. You see "Template duplicated".
Edit
- Click Edit on the card (or right-click › Edit).
- Change the fields and click Save. You see "Template saved".
Copy ID Right-click › Copy ID copies the template's ID. You see "ID copied". Functions use this ID to generate documents.
Delete
- Right-click › Delete, or open the template with Edit and click Delete.
- In the confirmation "Delete ""? Generated files stay in Drive.", click Delete.
Important: deleting a template cannot be undone. Documents already generated stay in Drive.
Permission levels
| Level on the Roles page | You can |
|---|---|
| Can view | See the cards and past generated documents. |
| Can generate | Also generate PDFs from records. |
| Full control | Also create, edit, duplicate, preview and delete templates. |
Without Full control you see the cards but there are no New template or Edit buttons and the right-click menu has only Copy ID.
Tips
- Generating can be limited to one record type. A role can be allowed to generate only for specific types.
- Changing a template does not change documents already made.
Troubleshooting
No access to Templates You need at least Can view on Document templates. Ask a workspace owner.
