Products & services

Keep one list of what you sell and buy — HSN/SAC, GST rate, unit and price — and pick from it on every invoice, bill, order and sale.

Products & services is your one list of everything you sell or buy. Each item carries its HSN or SAC code, GST rate, unit and prices, so when you pick it on an invoice, quote, purchase order, supplier bill or at the till, the line fills itself.

Before you start: setting up the list needs permission to manage invoicing or stock. Adding and editing items needs permission to add records of the item type.

Set up the list

  1. Open Items & Stock or Invoices & Payments and choose Products & services in the menu.
  2. Click Set up products & services. If your workspace already has a products list, it is used as-is; otherwise a new one is created.
  3. From now on every invoice, quote, bill and order line can pick an item.

Add an item

  1. In Products & services, click New item.
  2. Choose Goods or Service.
  3. Enter the Name and, if you use one, the SKU / item code.
  4. In HSN code (goods) or SAC (services), type the code or a few words — for example "bolts" or "software". Pick a suggestion or keep the code you typed.
  5. Choose the GST rate. Picking a suggested code fills its usual rate; change it if yours is different. Use Nil rated, Exempt or Non-GST for supplies without GST.
  6. Choose the Unit — these are the GST unit codes (for example NOS, KGS, LTR) that your GSTR-1 needs.
  7. Enter the Sale price and Purchase price. For goods you can also set a Barcode, a Reorder level and whether to Track stock.
  8. Click Add item.

Import your existing list

  1. In Products & services, click Import.
  2. Upload a CSV or Excel file and match its columns to the item fields.
  3. Check the preview, then import. Rows with problems (for example an HSN code with the wrong number of digits) are listed so you can fix and re-import them.

Use items on invoices and bills

  1. On any invoice, quote, purchase order or supplier bill, click into the Item column of a line.
  2. Search by name or code and pick the item. The description, HSN/SAC, unit, rate and GST % fill in. Purchase documents use the purchase price.
  3. Not in the list yet? Choose + New item — the item is saved and the line fills from it.

Tax is always worked out from the line's rate and GST % when you save.

Good to know

  • HSN codes must be 4, 6 or 8 digits; a SAC is 6 digits starting with 99. Businesses with turnover above ₹5 crore need 6-digit HSN codes.
  • The code suggestions are a starting list of common codes, not the full tariff. Usual rates are indicative — confirm the code and rate with the GST notification or your CA.
  • Changing an item later does not change invoices you already issued.
  • Exempt, nil-rated and non-GST items are reported separately in your GSTR-1 summary.
  • Services never carry stock. Goods marked Track stock move stock when sold or bought on documents set to move stock.
  • In-Store Checkout registers sell from this list unless a register is set to use a different one.
