How a transport business actually runs

A fleet owner with twenty owned trucks and a few dozen attached or market-hire vehicles runs on phone calls. A client calls in a load; the traffic desk finds a free truck on a WhatsApp group, gives the driver an advance, writes the LR, and generates the e-way bill on the portal. The truck goes, the driver calls in from the toll plaza, and somebody updates a sheet — sometimes.

The money leaks in predictable places:

  • PODs that never come back. The load was delivered two weeks ago, the signed copy is still in the driver's cabin, and the client will not pay freight without it.
  • Expired documents. Fitness, insurance, permit and PUC each have their own date. One lapse shows up as an RTO challan, a stopped truck, or an insurance claim that fails.
  • Trip profit nobody knows. Freight is on one sheet; diesel, tolls, driver bhatta, loading charges and challans are slips and FASTag statements. Whether the Pune–Chennai run made money is a guess.
  • Double booking. Two dispatchers promise the same truck to two clients on the same morning.
  • Slow billing. Freight bills wait until someone collects LRs and PODs, matches them to trips and types them into Tally.

How the template covers it

Bookings. A load starts as a Pickup request (numbered PRQ-…): company, contact, pickup and drop city, service, vehicle needed, weight and pickup date, moving new → quoted → confirmed → trip_planned and linked to its client and trip. Clients and new shippers can raise one themselves on the published Book a pickup form — making it reachable from the public internet is the owner's choice — and the desk enters phoned-in loads the same way.

Trips. Every vehicle movement is a Trip (numbered TRP-… automatically) — FTL, PTL, milk run or last mile — with client, vehicle, driver, origin, destination, distance, load in kg, LR number, e-way bill number, departure, ETA, delivery date and freight. Status runs planned → loading → in_transit → delivered → pod_received → billed. When a trip goes in transit, the Trip on the road marks the vehicle flow sets the vehicle to on trip, so it does not get promised twice.

Vehicles and documents. Each Vehicle records registration, type (Tata Ace, 14 ft pickup, 17 ft LCV, 19 and 22 ft trucks, 32 ft SXL and MXL containers, 40 ft trailer, reefer), capacity in tonnes, ownership (owned, attached or market hire), home base, odometer, and four validity dates: fitness, insurance, permit and PUC. The home dashboard lists vehicles with documents due in the next 30 days, as a count and as a working table.

Drivers and workshop. A Driver carries licence number and validity, phone, home city, experience, assigned vehicle and monthly salary. Maintenance jobs log services, tyres, breakdowns, body work and batteries with workshop, odometer, cost and status.

LR and POD. The Lorry receipt & POD layout prints a lorry receipt from the trip record, with a block for the consignee to sign and stamp, and saves the PDF to Drive. When a trip is delivered, the Delivered trip opens a POD to collect flow creates a Proof of delivery record in pending_upload. When the signed copy arrives it is marked received, then verified — or disputed, with condition (good, short, damaged, refused), short units and remarks. A verified POD moves the trip to pod_received, so the billing desk works from a list of trips that are actually billable.

Trip expenses. Diesel, tolls, driver bhatta, loading and unloading, RTO challans and repairs are Trip expenses against the trip, each with amount and how it was paid — FASTag, fuel card, cash, UPI or bank. Freight minus expenses per trip is a single query in Analytics.

Freight billing. Clients have Contracts with Rate card lines for freight per km, per kg or per trip. Freight is entered on the trip and as Billable charges, which go onto a client invoice that names the contract and billing period. The dashboard's On-time delivery (30 days) and Trips on the road widgets keep the desk honest week to week.

An honest limit

AxisIQ records e-way bill numbers; it does not generate e-way bills on the government portal, and it has no GPS or FASTag feed of its own. Trip status is updated by your team, or by a flow you build against a tracking API you already use.

Is AxisIQ transport management software for fleet owners? Yes. It runs trips, vehicles, drivers, PODs, trip expenses and freight billing in one workspace, with flows that track which trucks are on the road and which deliveries still need a POD.

Can it track vehicle document expiry? Every vehicle has fitness, insurance, permit and PUC validity dates, and the home dashboard counts and lists vehicles with documents due in the next 30 days.

Does AxisIQ generate e-way bills or LRs? It does not generate e-way bills — it records the number, and the bill is generated on the government portal. It does print a lorry receipt with a POD block from each trip, using the template's Lorry receipt & POD layout.

Can I see profit per trip? Yes. Freight sits on the trip and diesel, tolls, bhatta and other spend are trip expenses linked to it, so profit per trip, route or vehicle is a query or a dashboard widget.

Does it work for attached and market-hire vehicles? Yes. A vehicle's ownership is owned, attached or market hire, and trips, expenses and PODs work the same for all three.
