Where the sales funnel leaks

Real estate leads are expensive and perishable. A portal enquiry that isn't called within the hour has usually called three other projects. Yet in most sales offices, leads arrive in five places — portal dashboards, lead emails, the website, the reception register and partners' WhatsApp messages — and are copied into a sheet by whoever has time. Follow-up dates live in each executive's head, so leads go cold without anyone deciding to drop them.

Site visits are the moment that converts, and the hardest to coordinate: a pickup to arrange, a sample flat to keep ready, a weekend calendar shared between executives. When the outcome is never written down, nobody can say which source produces visits rather than just enquiries.

Channel partners add a third problem: attribution. A broker who registered a buyer before their visit expects commission when that buyer books — and if the registration lived in a WhatsApp chat, the dispute is about memory, not data. Commissions then pile up across bookings with no clear status of what is accrued, invoiced or paid.

How the template covers it

  • Lead (numbered ENQ- automatically) records name, phone, email, project, source (99acres, MagicBricks, Housing.com, website, walk-in, channel partner, referral), the Channel partner who brought them, enquiry date, budget, configuration they're looking for, stage (new → contacted → site visit scheduled → site visit done → negotiation → booked or lost), salesperson, next follow-up and a lost reason (budget, location, bought elsewhere, not reachable, loan rejected, postponed).
  • Site visit (numbered VIS-) links the lead and project with the visit date, status (scheduled, completed, no-show, rescheduled, cancelled), outcome (interested, follow-up, not interested, booked on the spot), who attended, whether pickup was arranged, and feedback. With Calendar switched on, visits can be shown as a calendar over their visit dates, and a booking page lets a buyer pick a slot.
  • Channel partner keeps contact person, RERA agent number, PAN, GSTIN, city, commission % and status (active, inactive, suspended).
  • Commission ties a partner to a Booking with the agreement value, commission %, a computed Commission amount, status (accrued, due, invoiced, paid, on hold), due date and paid-on date.
  • Leads come in by CSV import from a portal export, typed from a lead email or call, or through the template's two published forms: Property enquiry (name, mobile, email, looking for, budget) and Book a site visit (the same plus a preferred visit date), each creating the lead itself once the owner opens them to the public — see customer intake forms and importing CSVs.

The home dashboard shows Overdue follow-ups, Leads by stage, Leads by source over 90 days, Site visits this week and Follow-ups to chase. With Web Campaigns on, Meta and Google Ads spend sits beside the leads it produced — a cost-per-booking query in Analytics away.

One honest limit

There is no automatic lead sync with 99acres, MagicBricks or Housing.com. Portal leads come in by CSV import (up to 500 rows a file) or are entered by hand; only enquiries through the Property enquiry and Book a site visit forms arrive in AxisIQ on their own.

Can AxisIQ track leads by source from property portals? Yes. Every lead carries its source, and the dashboard charts leads by source over 90 days; portal leads are imported or entered rather than synced.

How do I manage site visits? Each visit is a record linked to its lead and project with date, status, outcome and pickup. Buyers can ask for one through the Book a site visit form, and Calendar can show visits by date.

How are channel partner commissions calculated? A commission record links the partner to the booking and computes the amount from the agreement value and commission %; its status runs from accrued to paid.

Will I see which follow-ups are overdue? Yes. Leads carry a next follow-up date, and the home dashboard shows an Overdue follow-ups count and a table of follow-ups to chase.

Can a brokerage use this template, not only a developer? Yes. Leads, site visits and partners fit as they are; ask Ask Axis to add a developer type and brokerage receivable to fit an agency's side of the deal.
