Where a developer's back office breaks

The pressure in a developer's office is not the launch; it is the four years after it. Every booking signed in the launch month turns into eight or more instalments tied to construction progress, and each one is a demand letter, a follow-up, a receipt, a GST amount and — for a property above ₹50 lakh — a 1% TDS deduction the buyer must file and prove with Form 16B. Multiply by a few hundred units across three towers and the collections sheet becomes the most important and least trusted file in the company.

Construction and collections are run by different people. The site team knows the tenth slab was cast last Tuesday; the CRM team finds out when someone forwards a photo. Demand letters go out late, the escrow account's balance lags, and a buyer who asks "what do I still owe" waits a day for an answer.

Then possession. The sale deed needs stamp duty and a sub-registrar slot, the bank wants its share disbursed first, the buyer's inspection produces a list of defects, and the keys should not move until dues are clear and snags are fixed. When these live in separate notebooks, a handover takes weeks longer than the construction did.

How the template covers it

  • Project records the RERA registration number, type (residential, commercial, mixed use), locality and city, status from pre-launch to completed, launch date, RERA possession date, total units, land area and the RERA escrow account.
  • Tower / phase belongs to a project, with its RERA phase, floors, units per floor, construction status (excavation to OC received) and possession date — because construction and possession run per tower.
  • Construction stage is each tower's progress: plinth, slab 5, slab 10, top slab, finishing, possession, with planned and completed dates and an architect certified flag.
  • Unit is every flat, office or shop: configuration, floor, facing, carpet and super area, rate per sq ft, base price and PLC, a computed Agreement value, and a status that moves available → on hold → booked → sold → registered. Flows keep that status honest: a booking blocks the unit, a signed agreement marks it sold, a registered agreement marks it registered, a cancellation releases it.
  • Booking (numbered BKG- automatically, with an Allotment letter layout to generate the buyer's letter) ties unit, buyer, lead and channel partner to the booking amount, agreement value, payment plan (construction-linked, down payment, subvention) and funding (self or home loan). Its Payment milestones are the schedule: milestone, % of value, amount, GST, computed Total due, due date and status.
  • Demand letters are invoices with Booking and Milestone references; receipts are payments with a Booking reference. Demands are numbered DMD- automatically and print with the template's Demand letter layout in Documents; add a Razorpay payment link through Payments if you collect online. When a demand is marked paid, a flow closes its instalment.
  • TDS (26QB) links booking and receipt to the 26QB acknowledgement, TDS amount and status (awaiting 26QB, filed, Form 16B received, mismatch). Home loan records lender, sanctioned and disbursed amounts and whether the tripartite agreement is signed.
  • Registration holds the agreement for sale or sale deed, sub-registrar office, stamp duty, registration fee and dates. Handover tracks possession offered, inspection, dues cleared and keys handed, and each Snag carries area, trade, severity, status and who is fixing it.

The Sales & collections dashboard puts Collections, Overdue demands and Demands past due on the home screen; anything else is SQL in Analytics.

One honest limit

AxisIQ keeps the RERA, TDS and registration records, but files none of them: there is no RERA quarterly filing, no 26QB or GST filing, no e-stamping or sub-registrar submission, and no integration with lenders — loan sanction and disbursement are recorded by your team.

Can AxisIQ generate demand letters for construction-linked plans? Yes. Demands are invoices linked to the booking and the milestone, generated as PDFs from the template's Demand letter layout, with an optional payment link. The CRM team raises them when a stage completes; Ask Axis can add a flow that alerts them.

How do I track unit inventory across towers? Every unit belongs to a project and tower and carries a status, kept in step with bookings, agreements, registrations and cancellations by flows; the dashboard charts inventory by status.

Does AxisIQ track TDS on property purchases? Yes, as records: each 26QB row links the booking and the receipt with the acknowledgement, amount and Form 16B status, so mismatches are visible. Filing stays with the buyer and your CA.

Can I manage snag lists at possession? Each handover has snag lines with area, trade, severity and status, assigned to the site team, beside dues cleared and keys handed.

Can AxisIQ record the RERA escrow account? The project holds its RERA registration number and escrow account, and receipts live in the same workspace; reconciliation is done by your accounts team.
