Free salary slip generator
Make salary slips for your whole team in one go. Import your salary sheet from Excel or CSV, or type it in. The tool can work out PF and ESI, prorate pay for unpaid days and write net pay in words. You get one PDF payslip per employee plus a salary register by email. No sign-up, no card.
How to make salary slips online
- Add your company and the pay month. Your company name, address and logo print at the top of every payslip.
- Set your pay heads. Pay heads are the earnings and deductions on the slip, such as Basic, HRA, Special allowance, Professional tax and TDS. Rename, add or remove them to match how you pay.
- Add employees. Download the Excel template, fill one row per employee and import it. Or add employees one by one. Each row has the employee's ID, name, designation, PAN, UAN, bank account, paid days and an amount for every pay head.
- Check every payslip. The preview updates as you type. Pick any employee to see their slip, with gross pay, deductions and net pay for the whole month at a glance.
- Get the PDFs. Enter your email. You get a ZIP with one payslip PDF per employee, ready to forward, plus a salary register for your records.
Salary slip format
A standard Indian salary slip has four parts:
- Company and month: employer name, address and logo, and the month the salary is for.
- Employee details: name, employee ID, designation, department, date of joining, PAN, UAN, ESIC number, bank account and paid days.
- Earnings and deductions: side by side, each pay head with its amount, and totals for gross earnings and total deductions.
- Net pay: gross earnings minus deductions, in figures and in words.
Common earnings
- Basic: usually 40–50% of the monthly salary. PF is worked out on it.
- HRA (house rent allowance): often 40–50% of Basic. Employees who pay rent can claim part of it as tax-free.
- Special allowance: the balance of the salary after the other heads.
- Conveyance, medical and other allowances, plus bonus, overtime and incentives when they apply.
Common deductions
- Provident Fund (PF): 12% of Basic (plus DA), for the employee's share.
- ESI: 0.75% of gross pay for employees earning up to ₹21,000 a month.
- Professional tax: a state tax on salaries, up to ₹2,500 a year. The amount depends on the state and the salary.
- TDS: income tax deducted every month, based on the employee's expected tax for the year.
- Advance or loan recovery, and any other agreed deduction.
How PF is calculated
The employee's PF contribution is 12% of Basic plus dearness allowance (DA). Most employers apply it to wages up to the statutory ceiling of ₹15,000 a month, so the employee's share is at most ₹1,800. With Work out PF on, the tool calculates it this way and adds it to every slip. If you pay PF on the full Basic above ₹15,000, turn the switch off and enter PF as a deduction yourself.
Example: Basic ₹20,000 → PF on ₹15,000 → 12% = ₹1,800.
How ESI is calculated
ESI applies to employees whose gross pay is ₹21,000 a month or less. The employee pays 0.75% of gross pay, rounded up to the next rupee. The employer pays 3.25% separately, and that amount is not shown on the payslip. With Work out ESI on, the tool adds ESI only for employees under the limit.
Example: gross ₹14,000 → 0.75% = ₹105.
Paid days and loss of pay
If an employee took unpaid leave, enter their paid days, or their LOP (loss of pay) days. Turn on Prorate earnings by paid days and each earning is scaled to the days paid. For example, Basic of ₹10,000 for 15 of 30 days becomes ₹5,000. Leave the switch off if your sheet already has the actual amounts paid.
Frequently asked questions
Is the salary slip generator really free? Yes. Payslips are free and arrive by email. One email address can make up to 10 batches a day, of up to 200 employees each.
Can I import salary details from Excel? Yes. Use our template, or your own sheet with a header row. Columns named like Employee ID, Name, Designation, PAN, UAN and Paid days are recognised. Every other column with amounts becomes a pay head. Columns such as PF, TDS, Professional tax and Advance become deductions, and the rest become earnings. You can change any of them before you generate.
Why do I get the payslips by email instead of a download? The page shows a draft preview so you can check every number. The final PDFs go to your inbox, so you keep a copy you can forward to each employee.
Do you store my employees' salaries? No. The salary details are used to make the PDFs and are deleted from our queue once they are sent. We keep your own contact details and a one-line summary, such as the month and the number of employees. Read our privacy policy.
Does it work out TDS and professional tax? Not yet. TDS depends on each employee's tax regime and declarations, and professional tax depends on the state. Enter both as deductions. AxisIQ People works out both for you.
Can employees get their payslips directly? The ZIP has one PDF per employee, named with their ID and name, so you can forward each one. In AxisIQ People, every employee is told when their payslip is ready and can open it themselves.
