Assets
Keep a register of laptops, phones and other company property, hand it to employees, take it back, and have exits list what to return.
The Assets register keeps track of company property — laptops, phones, ID cards, tools — and who has it.
Before you start: keeping the register needs Runs HR on People (HR). Everyone else sees what they, or the people who report to them, hold.
Add an asset
- Open People › Assets.
- Click New asset.
- Fill in Name and Asset tag (unique, for example
LAP-014), and optionally Category (laptop, phone, ID card…), Serial number, Purchase value (for example ₹62,000), Purchased on, Status and Notes. - Click Save. You see "Asset added".
The top of the page shows Assets (with their total value), Assigned, Available and With people who left. Filter the list by status.
Hand it over and take it back
- Open an available asset and click Assign.
- Pick who it goes to under Give to, the Handed over on date and an optional note. They are told.
- When it comes back, open it and click Take back. Record the Condition (for example "scratched screen"), the Returned on date and what happens After return: Available to hand out, Needs repair or Not returned — lost.
Each asset keeps a history of every hand-over and return. An asset still held by someone who has left shows Has left — take it back.
An asset can be deleted only if it was never handed out.
Assets on exit
When someone leaves, their exit checklist starts with one HR task per asset they hold — "Return ()". Ticking the task takes the asset back; taking it back from the register ticks the task. See Onboarding and exit checklists.
