Create a record type

Add a new kind of record — such as Vehicles or Fee invoices — from an app's settings or the launcher, then rename or delete custom record types.

Create a new kind of record yourself — Vehicles, Fee invoices, Site visits — without waiting for a template or Ask Axis. You give it a name, choose the app it belongs to, then add its fields.

Before you start: You need Full control on Business records. Renaming a record type needs permission to change record types — the workspace owner always has it.

Create a record type

  1. Open New record type from one of these places:
    • an app's Settings page — the New record type button at the top right,
    • an app with no record types yet — the New record type button on its empty settings page,
    • the app launcher (Ctrl K or ⌘ K) — New record type at the bottom.
  2. In New record type, fill in:
    • Name — what you call these records, for example Vehicles.
    • Key — filled in from the name (vehicles). It is the type's permanent name in reports, imports and the API. Change it now if you like; it cannot be changed later.
    • App — the app it is filed under, or Records (not filed under an app).
    • Icon.
    • Description (optional) — what the type holds. It helps teammates and Ask Axis.
  3. Click Create.

AxisIQ opens the app's Settings on the new type's tab, ready for you to add fields.

Key rules

The key is checked as you type:

  • Lowercase letters, digits and _ only, 2 to 32 characters, starting with a letter.
  • Keys starting with sys_ are reserved.
  • It must not be used by another record type: "A record type with this key already exists".

Rename a record type

  1. Open the app's Settings and the type's tab.
  2. Click Rename.
  3. In Rename record type, change the Name and Description, then click Save. You see Record type updated.

The key stays the same, so reports, imports and links keep working.

Delete a record type

Important: Deleting a record type deletes all of its records and fields for good. They do not go to the trash and cannot be restored.

  1. Open the app's Settings and the type's tab.
  2. Click Delete type.
  3. Read Delete Vehicles? — it says how many records will be deleted. Reports, flows, forms and links in other records that use the type stop working.
  4. Type the key (for example vehicles) under Type vehicles to confirm.
  5. Click Delete forever.

Only custom record types can be renamed or deleted. Built-in types such as invoices and payments have neither button.
