Export records to CSV
Download a record type as a CSV file: columns, value formats and the 10,000-row limit.
Download all records of a type as a CSV file you can open in Excel, Google Sheets or Numbers.
Before you start: You need Can add & edit (or higher) on Business records, which includes exporting. You can only export records and fields you are allowed to read.
Steps
- Open the record type's list.
- Click Export.
Your browser saves a file named after the record type, for example customers.csv. If it fails you see Export failed.
What is in the file
- One header row, then one row per record.
- The first two columns are
idandcreated_at(a timestamp). After them come all the type's fields in order, with the field key as the column heading. - Records you cannot read are left out. Fields your role hides are blank.
- Computed and auto-numbered fields are included.
How values are written
| Field type | In the file |
|---|---|
bool |
true or false |
currency |
amount code, for example 1250.5 INR |
multiselect, refs |
A list in square brackets, for example ["red","blue"] |
ref |
The linked record's ID (a UUID) |
date |
YYYY-MM-DD |
datetime |
An RFC 3339 time in UTC |
| Everything else | The plain value |
Cells that start with =, +, - or @ get a ' in front so that spreadsheet programs do not run them as formulas. Plain numbers and phone numbers such as +91 98641 83399 are left alone. Import removes the ' again.
Limits
- Up to 10,000 records per export, newest first. A bigger type is cut off at 10,000 and the app does not warn you.
- Export cannot be filtered. All records of the type are included, regardless of the filters on the list.
Troubleshooting
Export failed You may lack the export permission, or the type could not be read. Ask a workspace owner to check your role: Business records at Can add & edit or higher.
Dates look wrong in Excel Timestamps are in UTC. Convert the time zone in your spreadsheet if needed.
