How a building materials dealership runs
A dealer appointed by a cement company, a steel brand or a tile maker sells to three kinds of buyer: retail counters and sub-dealers, contractors working several sites at once, and builders on a single large project. Orders are big, credit is long, and goods leave in truckloads rather than cartons:
- Credit is extended per contractor, not per bill. A contractor running three sites owes on all of them, and the dealer often learns the total only when a payment is short.
- Large orders carry real risk. A ₹4 lakh steel order on 45 days' credit needs someone senior to say yes, and that decision usually happens on a phone call nobody records.
- Deliveries come in parts. Two hundred bags of cement leave in two trips; tiles arrive at site as lots are available. The order is "delivered" only when the last load lands.
- Vehicles and drivers are a ledger of their own. Owned tempos and hired trucks, each trip with a driver, and the proof of delivery comes back on paper — if at all.
How the template covers it
Large orders approved. A Sales order with a taxable value of ₹1,50,000 or more is held as pending approval by the template's Big orders need approval flow until the sales manager clears it; smaller orders go straight to picking. The threshold is a value in the flow, so it can be changed to suit your trade.
Challans with vehicle and driver. Each load is a Delivery challan that names the sales order, the customer, the Vehicle (three-wheeler, Tata Ace, pickup or 407; owned or hired; driver, driver phone and capacity), the driver for this trip, dispatch date, delivered date and the e-way bill number you generated on the portal. Challans number themselves (DC-2610-0001), and the template's delivery challan layout prints one as a PDF — customer, vehicle, driver and cases — to travel with the goods and be signed on receipt. Statuses run loaded → dispatched → delivered, with partly delivered and returned for the loads that don't go to plan. Marking a challan dispatched moves its sales order to dispatched.
Part deliveries. Each challan points at its sales order, so two hundred bags can leave on two trucks as two challans, each with its own vehicle and date. Every challan carries a Final delivery checkbox: the earlier loads leave the order open, and only when the challan ticked as final is delivered does the Delivered challan closes the order flow mark the sales order delivered. The order's history is simply its challans.
The yard works a queue. Confirmed orders enter the Godown dispatch work queue automatically — To pick → Picked & checked → Loaded on vehicle → Dispatched — so the yard in-charge sees what is waiting to load without asking the office.
Customers on credit. Every customer is a Retailer record with GSTIN, address, credit limit, credit days, outstanding and an active / credit hold status. Payments record the cheque or UTR number and who collected them, and the dashboard shows overdue receivables, outstanding by age and the invoices to chase. Payment links through your own Razorpay account let a contractor pay a bill online (collecting payments online).
Brands as principals. Each company you are appointed by is a Principal, with its schemes (slab, flat off and display schemes are built in), purchase orders, GRNs that record shortage and damage on arrival, and claims for rate difference or transit shortage.

One honest limit
AxisIQ records the trip; it does not run it. It does not generate e-way bills or e-invoices, track vehicles by GPS, or plan routes and truck loads — generate the e-way bill on the portal and record its number on the challan. And the challan and invoice PDFs print header details and totals, not the item lines, so where an item-wise list must travel with the goods, attach it separately.
