How a banquet business runs

The wedding season decides the year. Enquiries arrive months ahead — from families, wedding planners and corporates — and the first question is always the same: is the lawn free on that date, for dinner? A venue with two halls and a lawn sells each by session, and a double booking on a muhurat date is the one mistake nobody forgets.

Quotes are built from a per-plate package — veg or non-veg, a minimum guarantee — plus everything around it: decor, sound and lights, a DJ, a block of rooms for the baraat, venue hire. The booking moves from enquiry to tentative to confirmed when the advance lands, and the guaranteed count changes twice before the day. After the event, the final bill reconciles guarantees, extras and advances, often against a planner or company that has its own GSTIN.

On paper this lives in a bookings diary, a quotation in Word and an advance receipt book. Sales cannot see what accounts collected, and accounts cannot see what sales promised.

How the template covers it

  • Banquet hall lists each hall, lawn, terrace, boardroom or poolside space with Seated capacity, Floating capacity, Hire charge and status.
  • Banquet package holds per-plate Veg and Non-veg rates for weddings, conferences, birthdays, offsites and social events, with Minimum guests and inclusions.
  • Event booking is numbered automatically (BQT-2026-0001) and names the event, the Account (wedding planner, corporate or travel agent), the host and phone, the Venue, the Package, Event date and Session (breakfast, lunch, hi-tea, dinner, full day), Guaranteed pax and Per plate, and computes Food value from the two. Status runs enquiry → tentative → confirmed → completed or cancelled, with Advance paid on the record.
  • Event charge lines under each booking cover decor, AV equipment, DJ and music, room blocks and venue hire, each with quantity, unit price and a computed Amount.
  • The built-in Invoice carries an Event booking field, so the advance invoice and the final bill both point at the event.
  • The published Banquet & event enquiry form asks the occasion, name, mobile, event type, preferred date, session and expected guests, and creates an event booking from each answer.
  • The Function sheet PDF layout prints the booking confirmation and kitchen/banquet sheet from the event booking. It prints the booking's own fields, not its event charge lines.

Hall availability. Calendar comes switched on. Show event bookings' event dates as a calendar for sales, or create one calendar per hall with no-overlap switched on, so a second hold on a slot already taken is refused rather than accepted.

Advances by payment link. Raise an invoice for the advance against the event booking and send a payment link through your own Razorpay account; the host pays by UPI, card or netbanking and the paid link comes back as a payment record linked to the invoice. One honest limit

AxisIQ records payments rather than driving them at the venue: a card machine at the counter is record-only, and payment links run through your own Razorpay account. It does not generate e-invoices (IRN) or file GST returns for event billing — invoices carry GST and the ledger balances for your CA.
