How an independent hotel actually runs
A 30 to 80 key hotel lives on its front desk. Bookings come from four directions at once: the phone and walk-ins, your own website, corporates who send a booking email for their staff, and OTAs whose bookings appear in an extranet. The desk has to know, at any moment, which rooms are occupied, which are dirty, which are blocked for repair, and which corporate is paying for room 204.
The bill is where it usually goes wrong. Room nights, the restaurant dinner charged to the room, laundry and an extra bed have to land on one folio with the right GST rate, and a corporate guest wants the company name and GSTIN on the invoice, not their own. Companies on credit expect the bill against their account and pay in 30 days; somebody has to know who is overdue. Heritage properties add their own weight — a guest register with ID proof for every guest, Form-C details for foreign nationals, and rooms that differ enough that each needs its own notes.
How the template covers it
- Reservation is numbered automatically (RES-2610-0001) and carries the Source (walk-in, direct, website, phone, MakeMyTrip, Booking.com, Agoda, Goibibo, travel agent, corporate) and the OTA booking id, so revenue by source is a dashboard chart rather than a month-end exercise. OTA bookings are entered by hand or imported by CSV.
- Status moves enquiry → confirmed → checked_in → checked_out. Check-in marks the Room occupied; check-out marks it vacant and dirty and opens a checkout-clean Housekeeping task on the Housekeeping board queue (To clean → Cleaning → Ready for inspection → Inspected — sellable). Once inspected, the room is sellable again.
- Folio charge records room, food & beverage, minibar, laundry, spa, transport and extra-bed charges against the reservation, each with its own GST rate, and a computed Amount.
- Account holds the corporate or travel agent with GSTIN, credit days, credit limit and contracted rate; a reservation's Booked via account field ties the stay to the company that pays.
- Guest keeps ID proof type and number for the register, nationality, visa number and Form-C status, plus tier and preferences for repeat guests.
- Maintenance ticket with Room out of order ticked blocks the room until the repair is resolved.
- The Guest folio PDF layout prints a stay summary from the reservation at check-out (it shows the reservation's fields, not each folio line). The built-in Invoice links to the guest and the reservation.
- The published How was your stay? form files ratings straight into Guest feedback.
The front desk opens the Hotel overview dashboard to Arrivals today, Departures today, Rooms dirty, Out of order and a table of Rooms not ready.
The restaurant counter runs on In-Store Checkout: a register bound to the hotel's location, with cash, card and UPI tenders. A walk-in diner pays at the counter; for an in-house guest the restaurant & bar role posts the bill to the guest's folio as a food & beverage charge.

One honest limit
AxisIQ has no channel manager: it does not push rates or availability to OTAs or pull their bookings automatically, so an OTA booking must be entered or imported before it shows. It also has no keycard or door-lock integration and no night audit engine, does not submit Form-C to FRRO, and does not generate e-invoices (IRN) or file GST returns.
