Where an optical chain's operations break
An optical sale is not finished at the counter. The customer chooses a frame, the optometrist's prescription decides the lens, the order goes to a lab, and the spectacles come back days later to be fitted and handed over. Every step is a chance to lose the thread: a prescription written on a card, a lab order sent on WhatsApp, a delivery date promised from memory, a customer who calls the store asking whether the glasses are ready.
Stock is two different businesses. Frames are fashion stock — brands, models, colours, displayed in every store and moved between them when a style sells in one city and not another. Lenses are mostly made to order, with a smaller stock of ready readers and contact lenses. Treating both the same way either buries the frame wall in spreadsheet rows or leaves lens orders untracked.
Returning customers matter more here than in most retail. A prescription changes every year or two, and the store that holds the last one is the store the customer comes back to.
How the template covers it
- Brand and Product hold frames, sunglasses and contact lenses — the category list includes eyewear — with SKU, model number, barcode, HSN code, GST rate, MRP, selling price, landed cost, a computed Unit margin and warranty months.
- Stock line tracks each product at each store and the warehouse, with a Display unit flag for frames on the wall and a reorder level; a flow marks a line out of stock when it reaches zero.
- Stock transfer with Transfer lines moves frames between stores for rebalancing or a customer order, and records what arrived against what was sent.
- Purchase order, PO line and Goods receipt (GRN) cover buying from brands and distributors; an accepted GRN closes its PO.
- Customer keeps mobile, home store, loyalty tier and points, lifetime spend, last purchase and WhatsApp opt-in, with Points entries for every earn and redemption.
- Warranty records frame or lens cover against the customer and product. A Repair job — booked at the desk or through the Book a repair or installation form — tracks a broken frame with a
JOB-number, promised date and a Repair job sheet PDF for the customer, and moves through the Service desk queue to Ready for pickup and Handed over. - Day-end sales and Store target put each store's numbers on the Store vs target dashboard table.
What to ask Ask Axis to add
The template has no prescription or lab order types. Ask for them after signup:
- "Add a prescription type linked to customer: eye test date, optometrist, right and left eye sphere, cylinder, axis, add and PD, and next test due."
- "Add a lens order type sent to a lab: customer, prescription, frame product, lens type single vision/bifocal/progressive, coating, lab, sent on, promised on, received on and status."
- "Add lab to the supplier types, and a PDF layout for the lens order slip."
- "When a lens order is received from the lab, notify the store."
- "Add a dashboard table of lens orders past their promised date."

One honest limit
AxisIQ does not connect to lens labs' ordering systems or to diagnostic equipment such as auto-refractometers; prescriptions and lab orders are records your staff enter, and the lab still receives the order through its own channel.

Can AxisIQ store customer eye prescriptions? Yes, once you ask Ask Axis to add a prescription type linked to the customer; it then sits beside their purchases, warranty and loyalty points, under your role permissions.
How do I track lens orders sent to a lab? Ask Ask Axis for a lens order type with lab, sent, promised and received dates and a status; a flow can tell the store when an order comes back.
Can AxisIQ track frames and lenses separately? Frames, sunglasses and contact lenses are products with stock per store and display flags; made-to-order lenses are better tracked as lens orders than as stock.
Does AxisIQ remind customers when their next eye test is due? Add a next-test-due date to prescriptions and ask for a flow; reminders go out through Messaging on your own SMS, email or WhatsApp provider account.
