Saved views and columns

Choose which columns a record list shows and in what order, and save filters, sort and columns as a view for yourself or your whole team.

A view remembers how you like to look at a list: its filters, its sort and its columns. Save "Overdue invoices" or "Pune customers" once and pick it from a drop-down next time, instead of setting the filters again.

Before you start: Anyone who can see a record type can choose columns and save views for themselves. Sharing a view with everyone needs permission to change the record type — the workspace owner always has it.

Choose the columns

  1. Open a record type's list.
  2. Click Columns above the list.
  3. In the Columns dialog:
    • Tick a field to show it. Untick it to hide it.
    • Use the up and down arrows to change the order.
    • Reset goes back to the type's first six fields.
  4. Click Apply.

Created and the row menu are always shown. Fields your role hides are not offered. When no view is picked, your column choice is remembered in this browser for that record type.

Save a view

  1. Set the list up the way you want: add filters, sort by a column and choose columns. See Find records.
  2. Open the ⋯ menu (View options) next to the view drop-down and choose Save as new view….
  3. In Save view, enter a Name (up to 60 characters), for example Overdue above ₹50,000.
  4. If you may share, pick Who sees it:
    • Only me — a personal view only you see.
    • Everyone who can see these records — a shared view for the team.
  5. Click Save. You see View saved and the view is now picked.

Use a view

Pick it from the view drop-down above the list. Shared views are marked · shared. All records shows the list with no view. AxisIQ remembers the last view you used on each record type.

A view only changes what the list shows. People still see only the records and fields their role allows, so a shared view can show fewer rows to someone with a narrower role.

Change or delete a view

When you change the filters, sort or columns of a picked view, an Unsaved changes badge appears. In the ⋯ menu:

  • Save changes to this view — keeps the new filters, sort and columns.
  • Save as new view… — keeps the original and saves a copy.
  • Rename… — changes the name.
  • Delete view — asks Delete this view? first.

You can change your own personal views. Shared views can be changed by people allowed to share. Other people's personal views are never shown to you.

Note: If you don't see this yet, the owner applies the waiting workspace upgrade — see Upgrade your workspace. Until then, Columns still works and is remembered in your browser.

Limits

  • Up to 100 views per record type.
  • Column widths are not saved.
