What a school year looks like from the office
Admissions season starts in October and runs past April. Enquiries come from walk-ins, the website, a newspaper ad, a school fair and parents of current students; each needs a call back, a campus visit and, for most grades, an interaction or entrance test before an offer. Then the year begins: sections are formed, roll numbers assigned, and every morning each class teacher marks attendance. Unit tests, periodic tests, half-yearly and annual exams each produce a sheet of marks per subject that has to become a report card. Fees arrive quarterly, with sibling and staff-ward concessions, RTE and EWS seats, and a transport fee that depends on the stop. Two or three PTMs a year need slots, and parents expect to hear the same day when their child is absent.
The pain is rarely one task. It is the same student typed into five registers, and the office finding out from a parent what the class teacher already knew.
How the template covers it
Enquiry to admission. Every lead is an Admission enquiry with grade sought, board, source (walk-in, website, Google or Meta ads, referral, JustDial, school fair, newspaper), counsellor, next follow-up and campus visit. The template's published Admission enquiry form, embedded on your website, once you allow public access, creates the record itself, numbered ENQ26-00001 onward. The dashboard's Follow-ups due table is the counsellor's call list. When the parent applies — on the Admission application form or at the desk — an Application records the registration fee, interaction date, test score and whether documents are complete; a flow marks the enquiry applied, and when the application is marked admitted another flow marks the enquiry admitted. The application then links to the new Student, who gets the next admission number automatically, and the template's Admission letter PDF — class, parent, fee plan, bus stop — is ready to hand over.
Sections and promotion. Each section is a Class / Batch (kind school section, grade, section, class teacher, room, capacity) in an Academic year. An Enrolment records a student's section and roll number for one session, so promotions keep their history instead of overwriting it.
Daily attendance. One Attendance row per student per day — present, absent, late, half day or leave. Marking a child absent drafts a Parent message (attendance alert, SMS, status draft) for that student. The class teacher sends it through Messaging on the school's own SMS provider; the template's flow drafts, it does not send. Attendance today sits on the home dashboard.
Exams and marks. An Exam belongs to a section and session; Marks are entered per student per subject, the Percentage is computed by the database, and grade (A1 to E) and result sit beside it. Teachers who prefer a grid can enter a whole class's marks in Sheets and push them back to the records.
Report cards. PDFs come from layouts in the Templates app (Documents). The template ships a Fee receipt and an Admission letter, not a report card — your school's format is designed there once, with a live preview, as are TCs.
Fees and defaulters. A Fee structure per class band sets tuition, annual charges and a quarterly split. Each Fee instalment carries the fee, the stop's transport fee, any approved Concession (sibling, staff ward, merit, RTE, EWS, sports, early bird), what was paid and a computed Balance, with its Invoice. Parents can pay through a Razorpay payment link from your own account. Marking an instalment paid closes its invoice, and its Fee receipt PDF — useful to parents for 80C — prints from the record; marking it overdue drafts a WhatsApp fee reminder to the parent. The Defaulters table lists each family with an invoice past due, the parent's mobile and the amount.
Transport. Bus routes hold vehicle, driver, lady attendant, seats and fitness validity; Bus stops hold pickup and drop times and the quarterly fee. Each student points at a stop, so "who is on route 3" is a filter.
PTMs. Calendar is switched on: publish a booking page of PTM slots per teacher and parents pick one — no slot goes to two families. Send the PTM notice as a Parent message with category ptm.

One honest limit
AxisIQ has no parent app and no device integrations: no parent login, no biometric or RFID attendance, no GPS bus tracking. Parents are reached by SMS, WhatsApp or email through your own provider, and through public forms, payment links and booking pages. WhatsApp messages need Meta-approved templates and SMS to Indian numbers a DLT-registered template.
FAQ
Is AxisIQ suitable as a school ERP for CBSE and ICSE schools? Yes. Classes, subjects, exam types, grades and boards in the template use CBSE, ICSE and State board vocabulary, and every field can be changed.
Can AxisIQ send absence alerts to parents? It drafts them: marking a student absent creates a draft SMS alert for that student. A teacher sends it through Messaging on your SMS provider, or you add a send step to the flow.
How does AxisIQ handle sibling and RTE concessions? Each concession is a record with type, percent off, session and approver; the amount goes on the student's fee instalments, where the computed balance subtracts it. Ask Axis can add a flow that fills it in when a concession is approved.
Can parents book PTM slots online? Yes. Calendar booking pages let parents pick a slot, and a slot can't be booked twice.
Does AxisIQ file anything with the board or UDISE+? No. It keeps the records — including each student's APAAR ID — that you report from.
