AxisIQ for schools and coaching institutes
AxisIQ runs a school or coaching institute: enquiries to admission, classes, attendance, exams and marks, fee instalments, defaulters and transport together.
AxisIQ is the system a K-12 school or a coaching institute in India runs its office on: one live workspace where every admission enquiry, student, parent, class or batch, day's attendance, exam mark, fee instalment, concession and bus route sits in linked records, with Ask Axis — the built-in assistant — working on that data under each person's permissions. The Schools & Coaching template sets all of it up at signup: six apps, nineteen record types, five roles, five automation flows and a home dashboard, optionally filled with realistic example data so the first screen already reads like a school term.

The work this replaces
Most schools and institutes run on a patchwork. Enquiries live in a front-desk register and a counsellor's WhatsApp; nobody knows how many came from the Google ad versus the school fair. The student list is an Excel file the office, class teachers and transport in-charge each keep a different copy of. Attendance is a paper register, marks are one spreadsheet per class copied again into report cards, fees are a receipt book and a Tally ledger, and parent messages go out from three personal phones. What fails is the hand-over: the enquiry never called back, the absence a parent first hears about at the PTM.

The built-in Invoices type gains a Student field, so every fee invoice belongs to a child.
Three more things come ready-made. Auto-numbering: enquiries, applications, admission numbers and fee instalments are numbered as they are created (ENQ26-00001, APP-2026-0001, ADM-2026-0001, FI-2604-00001). Two published forms: an Admission enquiry form and an Admission application form that create those records directly once you allow public access. Two PDF layouts in the Templates app: a Fee receipt for any fee instalment (fee, transport, concession, paid and balance — the parent's copy for 80C claims) and an Admission letter for a student (class, parent, fee plan and bus stop).
The links are what make it one system. An Application points back to its Admission enquiry and forward to the Student it created, so the funnel from first call to roll number is one chain. A Student points at a Parent / guardian, a Fee structure and a Bus stop — so the fee and the bus are lookups, not separate lists. Marks point at exam, student and subject, so a class average or a subject topper is one query.
How a week runs in it
Admissions. A walk-in, a call or a website enquiry becomes an Admission enquiry with its source. The template's Admission enquiry form, embedded on your website, creates the record and its number directly. The counsellor sets a next follow-up date; the dashboard's Follow-ups due table lists every enquiry whose date has come. When the family applies — on the Admission application form or at the desk — the Application is saved and a flow moves the enquiry to applied; when the application is marked admitted, another flow marks the enquiry admitted too.
Every morning, attendance. Teachers mark Attendance for their class or batch. Each absent row drafts a Parent message — category attendance alert, channel SMS, status draft — for that student, so the class teacher opens a short list of drafts instead of composing alerts from memory.
Exams. An Exam is set up for a class or batch with its type and max marks. Teachers enter Marks per subject; the percentage is computed by the database itself. Or enter them in a Sheets grid and push back to the records.
Fees. Each Fee structure sets the session's tuition and annual charges and how they split — quarterly for most schools, monthly for coaching. The fee accountant raises a Fee instalment per student per instalment with its Invoice, applies any approved Concession, and adds the stop's transport fee. Families can pay through a hosted payment link from your own Razorpay account (Payments); a paid link arrives as a payment record. When the accountant marks the instalment paid, a flow marks its invoice paid, and the Fee receipt PDF is one click from the instalment. When an instalment is marked overdue, a flow drafts a WhatsApp fee reminder to that student's parent.
Automations included
Five flows, all switched on:
- Application moves the enquiry to applied — a new application marks its enquiry applied.
- Admission closes the enquiry — an application marked admitted marks its enquiry admitted.
- Paid instalment closes its invoice — a fee instalment marked paid marks its invoice paid.
- Overdue instalment drafts a fee reminder — an instalment turning overdue creates a draft WhatsApp fee reminder to the student's parent.
- Absence drafts a parent alert — a student marked absent gets an SMS alert drafted for the class teacher to send.
The last two create Parent message records; they don't send anything. Sending happens through Messaging, using the school's own SMS, WhatsApp or email provider account once one is connected — a staff member sends the draft, or you add a send step to the flow and let it go out automatically. Every flow can be changed or switched off in Automation.
Roles
- Principal — sees everything; owns academics, staff and approvals.
- Admissions counsellor — works enquiries to campus visits and applications, and admits new students.
- Teacher — marks attendance, enters marks, messages the parents of their class.
- Fee accountant — raises instalments and invoices, records payments, chases defaulters, keeps the books.
- Transport in-charge — keeps routes, stops, vehicles and drivers current and tells parents about delays.
Roles are edited app by app — visiting faculty can enter marks without seeing fees (permissions).
Your home dashboard
School overview opens with Fees collected (month to date vs last month), Fees overdue, Attendance today and Open enquiries, then Fee collection by day and Enquiries by source (90 days). Admissions shows Enquiry conversion (90 days), New enquiries this month, Campus visits next 7 days, Follow-ups due and an Enquiry pipeline. Last comes Defaulters — each family with a fee invoice past due, the parent's mobile, oldest due date and amount. Every widget is SQL over your own records, editable in Analytics.
Platform apps that come switched on
- Calendar — school calendars and booking pages: publish PTM slots and parents pick one; no slot is booked twice.
- Forms — the enquiry and application forms, published; add more.
- Messaging — email, SMS and WhatsApp through the school's own provider; WhatsApp needs Meta-approved templates and SMS to Indian numbers a DLT-registered one.
- Invoices & Payments — fee invoices and Razorpay payment links.
- Accounting ledger — double-entry postings your CA can work from.

Switched off: In-Store Checkout, Marketplaces, Content Studio, Work Queues and Functions — no shop counter, online store, barcode stations or custom code needed. Turn any on in Settings → Apps.
Make it yours
After signup Ask Axis asks what is different about your school, and you answer in plain words:
- "Add a library app with books and issues."
- "When a concession is approved, set the concession amount on that student's upcoming instalments."
- "Add a dashboard widget for attendance by class this week."
Ask Axis changes the live workspace under your permissions and asks before anything destructive (Ask Axis). The example data — 30 students, 32 enquiries, 68 instalments and the rest — makes the dashboard readable on day one. It is loaded before the automations, so it never fires a flow or drafts a message, and Settings → Industry template → Clear example data removes it in one click — only the template's own rows, never yours. Then load your rolls (CSV import guide). Started blank? A still-empty workspace can take the template later from Settings.
What AxisIQ doesn't do
- No parent app or portal. Parents hear from you by SMS, WhatsApp or email and can use public forms, payment links and booking pages; there is no parent login.
- No device integrations — biometric or RFID attendance, GPS bus tracking. Attendance and trips are records.
- No board or government filing (UDISE+, board registrations), no GST returns, no Tally sync or export, and no payroll — staff salaries are a field, not a payroll run.
- No timetable generator, LMS or online classes.
- No offline mode.

FAQ
Is AxisIQ a school management software for Indian schools? Yes. The Schools & Coaching template sets up admissions, students and parents, classes, attendance, exams and marks, fees, concessions and transport, built around CBSE, ICSE and State board vocabulary.
Can AxisIQ manage fee instalments and defaulters? Each instalment is a record with a computed balance and an invoice, and the home dashboard lists every family with an invoice past its due date. Marking an instalment overdue drafts a WhatsApp reminder for you to send.
Does AxisIQ send SMS or WhatsApp to parents automatically? Not by itself. The template's flows draft parent messages; they go out through Messaging on your own SMS, WhatsApp or email provider — sent by a staff member, or by a send step you add to a flow.
Can parents pay fees online? Yes, through hosted payment links from your own Razorpay account, bound to the fee invoice. A paid link comes back as a payment record.
Does it work for coaching institutes as well as schools? Yes. A class record can be a school section or a coaching batch, exams include weekly and mock tests, and fee structures can be monthly.
Can I import my existing student list? Yes, by CSV — up to 500 rows a file — into students, parents or any other type.
Does AxisIQ generate report cards? The template ships a fee receipt and an admission letter, not a report card. Report cards are designed once in the Templates app with a live preview.
