AxisIQ for AC and HVAC service companies
AxisIQ runs AC and HVAC service: split, VRF and chiller AMCs, PM visits, SLA complaints, job cards with parts, van stock and OEM warranty claims.
AxisIQ is AC and HVAC service software for Indian companies that install and maintain split ACs, VRF systems and chillers: AMC contracts with their PM visits, breakdown complaints with an SLA clock, technicians and job cards with the parts fitted, van stock, and warranty claims on the OEM, all linked to the equipment they concern in one live workspace. It starts from the Field Service & AMC template, set up in seconds at signup, and Ask Axis adds what your HVAC business does differently.

How an HVAC service business actually runs
An HVAC service company lives on two kinds of work that pull against each other. Breakdown calls arrive unpredictably — "not cooling" in May, "water leakage" in the monsoon, an error code on a VRF outdoor unit in an office that cannot run without it — and each one has a response time written into a contract or promised to a dealer. Preventive maintenance is the opposite: predictable, contractual and easy to let slip, because no one shouts when a quarterly PM on a commercial AMC is missed. They shout at renewal time.
Then there is the equipment itself. A society may have 40 split units; a hospital, two chillers and a VRF system across floors. Each has a make, model, serial number, tonnage and a warranty date, and whether a failed compressor is your cost, the customer's or the OEM's depends on all of it. Spares are expensive and mobile: compressors, PCBs, fan motors and refrigerant leave the store in a van, and unless someone records where they went, the margin on a chargeable repair and the claim on a warranty failure both disappear.
How the template covers it
- Equipment records each indoor unit, outdoor unit or chiller under its Site and Customer, with category (split AC, VRF AC, chiller), make, model, Serial number, Capacity, installed on, Warranty till and last serviced on.
- AMC contract sets comprehensive or non-comprehensive cover, PM visits per year, Response SLA (hours), contract value and billing cycle; Covered equipment lines list each unit with labour and parts, labour only or PM only.
- Service request takes complaint types an HVAC desk uses every day — not cooling, water leakage, noise/vibration, error code, breakdown — with priority and SLA due, numbered SR-2610-00042 automatically. A sticker on each unit can point to the Raise a service request form, which captures the asset tag, so a complaint arrives already naming the unit. A critical complaint marks its equipment down so the dashboard shows it.
- Technician carries skills (split AC, VRF AC, chiller), zone and grade, so a chiller trip goes to someone who can handle it.
- Every new complaint enters the Technician dispatch queue (New → Assigned → On site → Done), so nothing sits unassigned. The Job card records the visit, check-in and check-out, the work done and the customer sign-off, and prints as the Job card / service report PDF. Part used lines take compressors, PCBs, refrigerant and motors from the Spare part catalogue, each flagged chargeable or not.
- PM visit due rows hold every scheduled visit; a completed preventive job card marks its visit done.
- Stock level and Stock transfer track what sits in the warehouse and in each van.
- Warranty claim ties a failed part to the equipment and job card and follows it from filed to part returned to credited, so OEM claims on Daikin, Voltas, Blue Star or LG units are not lost.
The Service overview dashboard puts SLA breached, Overdue complaints, First-time fix % and AMCs up for renewal on one screen. See smart queues for how dispatch works.
What to ask Ask Axis to add
HVAC teams usually make changes like these in their first session:
- "Add Refrigerant charged (kg) and gas type to job cards."
- "Add a Chiller log type with site, equipment, date, supply and return water temperature and running hours."
- "Before 1 March each year, create a pre-summer PM visit for every split AC under an active AMC."
- "Mark a service request billable automatically when its equipment has no active AMC and is out of warranty."
- "Add a dashboard chart of compressor replacements by make over the last year."
Ask Axis makes each change in your live workspace under your permissions and confirms before anything destructive. See Ask Axis and automation.
One honest limit
There is no technician mobile app, no GPS tracking and no route optimisation: technicians use the AxisIQ web app in their phone browser, it needs a signal (there is no offline mode), and the coordinator plans the day's route. Customer sign-off is a field the technician sets — signature, OTP verified or refused — not a signature captured on a pad, and the service report PDF does not itemise parts used. AxisIQ also does not file GST returns or generate e-invoices; invoices carry GST and your CA files from the ledger.
FAQ
What is the best AMC management software for AC service companies? One that links each unit's serial number and warranty to its AMC, PM visits, complaints and parts used. AxisIQ sets that up at signup with flows that resolve complaints and close PM visits as job cards complete.
Can AxisIQ track VRF and chiller equipment separately from split ACs? Yes. Every unit is its own equipment record with category, make, model, serial number and capacity, and technicians carry matching skills.
How do we track OEM warranty claims for failed compressors? Each failure is a warranty claim linked to the equipment, the part and the job card, with the claim amount and a status from filed to credited.
Can technicians record the gas and spares used on a visit? Spares are part-used lines on the job card with quantity, price and a chargeable flag. Refrigerant is a spare category, and Ask Axis can add a gas-charged field if you track it separately.
