The work this replaces

Complaints arrive on the office landline, on the owner's WhatsApp and through the dealer who sold the unit. They go into a register or a Google Sheet and the address is forwarded to a technician on WhatsApp; whether the job got done is learned when the customer calls again. AMC renewal dates sit in a spreadsheet nobody opens until a customer asks where the PM visit went. Van stock is whatever the technician says it is. A compressor that failed in warranty is replaced from your own stock and never claimed. At month end, accounts sorts chargeable visits from job slips into Tally.

The cost: breached SLAs, missed PM visits, lost renewals and spares never billed or claimed.

What the Field Service & AMC template sets up

The built-in Invoice gains an Invoice type, an AMC contract link and a Service request link. Alongside the types, the template creates:

  • Auto-numbering — tickets SR-2610-00042, job cards JC-2026-00118, quotations QT-2610-0007, contracts AMC-2026-0031, issued as each record is created.
  • Technician dispatch — a work queue over service requests with stages New → Assigned → On site → Done; every new request enters it on its own.
  • Two forms — Raise a service request (asset tag, problem, your name, mobile, address) for a QR sticker on each unit, and Book an installation. Both are built and published; they go live on the open internet once the owner grants public access.
  • Two PDF layouts — a Job card / service report the customer signs off and a Quotation, generated from the record and saved to Drive.

The links matter. Equipment sits under a Site and Customer; a Service request names the equipment and contract, so whoever picks it up sees whether the unit is under AMC, OEM warranty or chargeable. A Job card points at the complaint or PM visit it fulfils, and a Warranty claim at the equipment, part and job card.

How a week runs in it

Complaints come in. The coordinator logs each call as a Service request with its channel and SLA due time. Customers can also scan the sticker and fill Raise a service request; the request arrives with caller name, phone, address and asset tag, and the coordinator links it to the customer and equipment — a public form never offers lookups into your customer list.

Technicians are dispatched. Every new request lands in Technician dispatch; the coordinator assigns a technician by skill and zone, moves it to Assigned and opens a Job card. In their phone browser technicians move the job card to on site, note check-in, check-out and work done, add spares as Part used lines and record the customer sign-off.

The job closes itself. When a breakdown job card is completed, a flow resolves the complaint. If the technician marks it needs revisit instead, the complaint reopens and is recorded as not fixed on the first visit, which feeds First-time fix %.

PM visits happen on schedule. Every contract's visits sit as PM visit due rows with due dates. A completed preventive job card marks its visit done; a missed visit is a status, not a surprise at renewal.

Spares move. The stores in-charge issues stock to vans as Stock transfers, keeps Stock levels per location and restocks on a Purchase order. A part that failed under OEM warranty becomes a Warranty claim, tracked until the manufacturer credits it.

Renewals are sold. When a contract is marked expiring, a draft renewal quotation is created for the same customer and site; the AMC & sales executive prices it and sends it from the Quotation PDF layout.

Money comes in. Accounts raises AMC and service invoices linked to the contract or the request and sends a payment link — UPI, card or netbanking through your own Razorpay account. A paid link comes back as a payment record; the ledger stays balanced for your CA.

Automations included

Five flows, all switched on:

  • Completed visit resolves the complaint — a completed breakdown job card moves its service request to resolved.
  • Revisit counts against first-time fix — a job card marked needs revisit reopens its complaint and records that it was not fixed on the first visit.
  • Completed PM visit closes the schedule — a completed preventive job card marks the PM visit it fulfils as done.
  • Critical complaint marks the equipment down — a critical-priority complaint flags its equipment as down so everyone sees it.
  • Expiring AMC gets a renewal quote — an AMC contract marked expiring gets a draft renewal quotation for the same customer and site.

Open, edit or switch any of them off in Automation.

Roles

  • Service coordinator — logs complaints, dispatches technicians, plans PM visits and keeps SLAs.
  • Field technician — attends visits, fills job cards, records parts used and gets customer sign-off.
  • AMC & sales executive — sells and renews AMCs, quotes repairs and installations, owns customer relationships.
  • Stores in-charge — runs the spares store and van stock, purchasing and OEM warranty claims.
  • Accounts — raises AMC and service invoices, records collections and keeps the books.

Service overview opens with Service revenue, AMC value booked, Open complaints and SLA breached; then two charts, Complaints logged by day and Complaints by type over 90 days; then the day's numbers — Visits today, First-time fix %, AMCs up for renewal (30 days) and Renewal value at stake; and two working tables, Overdue complaints and Visits scheduled today. Every widget is a SQL query over your own records, so you can change one or add your own in Analytics.

Switched off: In-Store Checkout, Marketplaces, Content Studio and Web Campaigns — a service business rarely needs a shop counter, a Shopify store or ad campaigns on day one. Turn any of them on in Settings → Apps.

What AxisIQ doesn't do

  • No technician mobile app, GPS tracking or route optimisation. Technicians use the AxisIQ web app in their phone browser; AxisIQ tracks the job, not the van, and the coordinator plans the route.
  • No offline mode. In a basement plant room without signal, the technician updates the job card on the way out.
  • No signature pad. Customer sign-off is a field on the job card (signature, OTP verified, refused) that the technician sets — not a signature captured on screen.
  • PDF layouts show the record's own fields — they cannot list line items yet, so parts used and quote lines aren't itemised on the PDF.
  • No GST return filing, e-invoicing (IRN) or e-way bills, no Tally sync or export, and no payroll. Invoices carry GST and the ledger balances; your CA files from there.
  • Customer messages go through your own provider — your SMS or WhatsApp Business account and its approved templates.
