Where an electronics chain's operations break

An electronics store sells a few hundred models, but each unit is an individual: a phone has an IMEI, a television a serial number, and the customer who comes back eighteen months later expects you to know which one you sold them. When serials live on paper bills and the brand's warranty portal, a claim starts with a search through old invoices.

Pricing moves weekly. Brands change dealer prices, run price-protection schemes on stock you already hold, and fund offers jointly with banks — no-cost EMI on one card, cashback on another, an exchange bonus for an old appliance. Knowing which offer drove a sale, and who pays for the discount, decides whether the chain claims its money back from the brand.

Finance sales add a tender most billing tools ignore. A large share of TVs, ACs and refrigerators is sold on card EMI or consumer-durable loans, and the store's cash-up has to show that money separately from what landed in the bank today.

Then service. Installations, demo visits and repairs come back through the store, the product goes to the brand's service centre, and the customer phones the store every three days to ask where it is.

How the template covers it

  • Brand carries main category (mobiles, televisions, large and kitchen appliances, laptops, audio, accessories), the supplier, standard warranty months, the service centre contact and a target margin.
  • Product holds each model: SKU, model number, EAN barcode, HSN code, GST rate, MRP, selling price, landed cost, a computed Unit margin, warranty months, and a Serial / IMEI tracked flag.
  • Purchase order records scheme and price-protection terms beside the PO lines; the Goods receipt (GRN) records units received and damaged, and a flow closes or part-closes the PO from it.
  • Stock transfer moves units between the warehouse and stores, or store to store, for replenishment, rebalancing, a customer order or a defective return. Each Transfer line has a Serial / IMEI numbers field, so the units that left one store are the units the next one signs for. Transfers number themselves (TN-) and print a Stock transfer note challan for the van; the note carries the transfer's header, while the serials stay on its lines in AxisIQ.
  • Promotion types include no_cost_emi, bank_cashback and exchange_bonus, with Funded by chain, brand, bank or shared, and Sales attributed.
  • Warranty registers manufacturer or extended cover against the customer, product, serial/IMEI, bill number and store; Store target carries an Extended warranty attach % goal.
  • Repair job gets a JOB- number and records customer name and mobile, the product as described, serial/IMEI, coverage (in warranty, out of warranty, installation), technician, estimate and promised date. Opening an in-warranty job marks the warranty claimed. The desk hands the customer a Repair job sheet PDF, and the job works through the Service desk queue: Received → Diagnosed → At service centre → Awaiting parts → Repaired → Ready for pickup → Handed over.
  • Book a repair or installation is a ready form that creates a repair job from name, mobile, product, serial/IMEI and the problem — for the counter, or on your website once the owner opens it to the public.
  • Day-end sales splits net sales into cash, card, UPI and Consumer finance.

At the counter, In-Store Checkout records cash, card and UPI tenders. A card EMI is charged on your card machine and recorded as a card tender; AxisIQ does not drive the machine. One honest limit

AxisIQ does not register warranties on a brand's portal or raise claims with the service centre for you; it keeps your own record of every serial sold and every job card, and your service desk still logs the claim with the brand.

Can AxisIQ track serial numbers and IMEIs for electronics? Yes. Products carry a serial/IMEI-tracked flag, transfer lines carry the serial numbers moved, and every warranty and repair job records the serial of the unit concerned.

How do I record EMI and consumer finance sales? Card EMI is charged on your card machine and recorded as a card tender at the counter; consumer-finance amounts are recorded in the day-end's Consumer finance column, so they reconcile separately from cash, card and UPI.

Can AxisIQ manage repair and service jobs? Yes. Customers book through the repair form or at the desk, each job gets a job sheet PDF, and the Service desk queue tracks it through the brand service centre to hand-over.

Can I track brand-funded and bank offers? Yes. A promotion records its type — including no-cost EMI, bank cashback and exchange bonus — who funds it, the stores it runs in, and the sales attributed to it.
