Booking pages

Publish a public scheduling link so visitors can book free slots on your calendar.

Let people outside your team pick a free slot on your calendar through a public link.

Before you start: you can set up a booking page on any personal or organization calendar you manage. Records calendars cannot have one.

Steps: set up

  1. Open Calendar › Booking pages.
  2. Find the calendar's card and click Set up booking page (or Edit booking page). The card shows Taking bookings or Off.
  3. In the Booking page tab, turn on Let people book time on this calendar.
  4. Fill in Page title (defaults to the calendar name), Location ("Office, phone or meeting link") and Description.
  5. Choose Meeting lengths (15, 20, 30, 45, 60, 90 or 120 min; pick up to 6, default 30 min).
  6. Tick the days under Available hours and set the time window for each (default 09:00 to 17:00 Monday to Friday, in the calendar's zone). One window per day.
  7. Set Start times every (min), Buffer (min), Minimum notice (hours) and Book up to (days ahead).
  8. Click Save booking page.
  9. Copy the Booking link with Copy link (or Copy on the card).

What a visitor sees

  1. The page title, the owner and workspace names, description, length and location.
  2. A Meeting length choice if there is more than one.
  3. A month calendar to pick a day, then free slots. A Time zone selector uses the visitor's zone by default.
  4. A form: Your name, Email, Anything we should know? (optional).
  5. Confirm booking. Then "You're booked", with Add to my calendar and View or cancel.

What counts as free

A slot is free if nothing else is on the calendar then. For a personal calendar, anything on any of your calendars, or an invitation you accepted, also blocks the slot. Two people cannot book the same slot: the second visitor sees "that time was just taken — pick another".

What happens next

  • The booking appears on your calendar with a Booked online badge.
  • The visitor gets a confirmation email with a link. Declining on that page cancels the booking (Cancel booking), after which the time is released and you are told.
  • Confirmation emails are limited per workspace (200 a day) and per recipient (5 a day). Over a limit the booking still stands but no email is sent.
